Vacancy for Social Secretary/Residence Event Manager

The British Embassy is looking to recruit a full time Social Secretary for HM Ambassador in Poland. The job is for a period of maternity leave beginning in February 2010. The successful candidate will be responsible for organising a range of social events. She/he will work with the Residence team. The ideal candidate should have excellent organisational, interpersonal and communication skills and be confident in dealing with wide range of senior British & Polish personalities from Government and Business as well as with all Embassy sections and outside service suppliers.

Main duties and responsibilities:

  • Arranging and coordinating numerous social events for HM Ambassador
  • Updating and controlling the events paperwork and necessary databases: guest lists, invitations, menu cards, table cards, seating plans etc.
  • Contracting, budgeting and coordinating of commercial/sponsored events at the Residence
  • Dealing direct with HM Ambassador’s guests
  • Liaising closely with senior political and business stakeholders,
    Residence and Embassy staff, external contractors
  • Choreographing Embassy annual big events: Staff/Kids Christmas Party, Summer Party, annual Queen’s Birthday Party, Christmas Carols Party
  • Occasionally dealing with protocol issues, official letters, translations

Skills and requirements for the position:

  • Strong interpersonal and communication skills; 
  • Strong oral and written English and Polish;
  • Proven organisational skills;
  • Problem-solving and judgement;
  • Flexibility and adaptability;
  • Ability to work on own initiative and in a team;
  • Availability to work occasionally outside normal working hours;
  • Ability to cope with sudden pressure and make ad hoc decisions;
  • IT skills (including MS Vista, Word, Outlook, Excel, internet).
